CRM outcomes for lead-generation agencies
Map CRM stages to Meta with a definition sales can defend
CRM stage mapping connects a business state in your sales pipeline to a supported conversion event, the first decision is what the stage means, not which label sounds most valuable
Start with a shared definition
Ask sales to describe the observable requirements for qualification, for example a confirmed service need and a serviceable location, then identify the CRM field that records the decision
This is an illustrative business definition, it is not a claim that every pipeline or Meta event uses these criteria
A lifecycle stage, deal stage and numeric lead score are different objects, name the object and field explicitly to avoid mapping the wrong change
Write the mapping before enabling delivery
| CRM state | Decision to document | Check |
|---|---|---|
| New inquiry | What created the record? | Distinguish an imported record from a new submission |
| Sales qualified | Which criteria were verified? | Use a consistently updated field |
| Meeting booked | Booked or actually attended? | Do not merge different outcomes |
| Closed won | What is the business timestamp? | Count each distinct deal once |
| Lost or rejected | How will reporting retain this state? | Do not assume it is a supported outbound event |
Assign an owner to every ambiguity
The sales owner signs off on business meaning, the implementation owner verifies supported event names and technical constraints, the agency checks whether the chosen stage serves the campaign objective
AI suggestions can help explain possibilities, they should not silently redefine qualification or enable a mapping that the client has not reviewed
Handle repeated transitions
A lead can move backward and forward, decide whether returning to a stage is a new business event or a repeated update
Document how merged contacts, reopened deals and delayed imports behave, retain enough audit information to explain an event without copying personal information into a public document
Download the worksheet
Download the CRM stage-mapping CSV
Use one sheet per client, fill in the business definition, source field, supported target event, timestamp source, consent check, duplicate rule and reviewer
The file contains headings and an illustrative row, it does not upload or process any CRM data
Review the first event
Walk through one actual transition after setup, compare the CRM timestamp and recorded delivery status, investigate a missing event before judging an ad
Continue with the implementation checklist and define your attribution coverage separately
